Every rental has to be reported to the Ministry of the Interior with the driver's and the vehicle's details. The system takes them from the contract the desk already filled in, sends them and keeps the acknowledgement, so at any point you can show what was reported and when.

Nobody has to remember anything. Pending contracts go out on their own and the verdict comes back on its own. If the Ministry rejects one, it shows up in the list with what is wrong, you fix it, and it goes again.
